Project Delivery and Client Responsibilities

This Policy sets out the information, media, permissions, feedback, approvals, backups, and technical cooperation required for a reliable remote video editing project.

1. Project Setup

Project delivery depends on complete and timely cooperation. Before editing begins, the client must provide the approved scope, source materials, reference information, brand assets, intended platform, final runtime expectations, technical specifications, delivery deadline, and applicable payment.

2. Source File Quality

The client is responsible for supplying readable, complete, and legally usable source files. Low-resolution footage, damaged files, clipped audio, missing media, incorrect frame rates, incomplete recordings, inconsistent lighting, or other source limitations may affect the result. The studio will work within the technical quality of the supplied materials unless restoration or corrective work is separately quoted.

3. File Transfer

The client must use the agreed file-transfer method, maintain access permissions, and avoid deleting or moving shared files during production. Upload completion should be confirmed before the studio begins review. Transfer time is not part of the editing timeline unless expressly stated.

4. Client Direction

Instructions should identify the purpose, target audience, intended platform, preferred pacing, required messages, prohibited content, brand rules, pronunciation guidance, caption requirements, and reference examples. Ambiguous or conflicting direction may require clarification and can delay the schedule.

5. Review Responsibilities

The client must review each version carefully, including visual content, spelling, names, titles, dates, pricing, contact information, music, captions, timing, and technical specifications. Feedback must be consolidated and provided within the review period stated in the project communication.

6. Approval

When the client approves a review version or requests final export, the client confirms that the creative and factual content has been checked. Corrections requested after approval may require additional fees and a revised delivery date.

7. Delivery Method

Final files are delivered digitally through an agreed cloud, transfer, or download service. Delivery is complete when access is provided to the approved files. The client is responsible for downloading and backing up the files before the link expires.

8. Platform Uploads

Unless expressly included, the client is responsible for uploading files to YouTube, Instagram, TikTok, advertising systems, websites, or other platforms. Platform compression, moderation, account restrictions, copyright detection, monetization decisions, and upload processing are controlled by third parties.

9. Delays

The studio is not responsible for delays caused by late client materials, incomplete direction, delayed feedback, payment issues, unavailable third-party services, transfer failures, power or internet outages, force majeure events, or changes requested after work begins.

10. Client Backups

The client should retain original source files and create independent backups of delivered files. The studio is not a permanent archive and does not guarantee indefinite storage.

11. Camera, Audio, and Synchronization Information

For multicamera, external-audio, interview, event, or screen-recording projects, the client should identify camera sources, audio sources, synchronization references, missing recordings, preferred speaker names, and any known technical problems.

12. Brand and Messaging Accuracy

The client must provide current logos, colors, fonts, disclaimers, product names, prices, URLs, spelling, pronunciation, and required messaging. The studio is not responsible for errors contained in outdated or inaccurate client-supplied brand information.

13. Music Selection and Licensing Instructions

If music is required, the client should identify whether it will supply licensed music, request use of an available licensed library, or publish without music. The client must not instruct the studio to use a commercial track without adequate rights.

14. Caption and Accessibility Instructions

Where captions, subtitles, transcripts, or accessibility formatting are required, the client should specify language, spelling conventions, speaker identification, placement, burn-in or sidecar format, and any legal or platform requirements. Automated transcripts require human review for names, technical terms, and accuracy.

15. Approval Authority

The client should identify the person authorized to approve the edit. Internal disagreement among reviewers, departments, agencies, or end clients does not expand the included revision allowance or preserve the original schedule.

16. Download and Inspection Period

The client should download and inspect final files promptly, including audio, image, captions, runtime, aspect ratio, resolution, and file naming. A technical issue should be reported within seven calendar days after delivery.
