Privacy Policy

This Policy explains how personal information and client-supplied media are handled throughout the remote video editing workflow, from the first project enquiry through file transfer, review, delivery, recordkeeping, and deletion.

1. Purpose and Scope

This Privacy Policy explains how Montavise Edits collects, uses, stores, and discloses information in connection with its website, project enquiry forms, service order forms, communications, video editing services, payment administration, and related business operations. It applies to website visitors, prospective clients, current clients, authorized client representatives, and other individuals who communicate with the studio.

The studio provides remote video editing and post-production services. Because project work may involve source footage, audio recordings, images, brand assets, scripts, captions, and related production materials, this Policy also describes how project files are handled. It does not replace any written project agreement, confidentiality agreement, or data-processing provision that specifically applies to a client engagement.

2. Information Collected

Information may be collected directly when a person submits a form, requests a quote, selects a service, sends project instructions, provides source materials, approves an edit, makes a payment, or contacts the studio. This information may include name, business name, email address, phone number, billing details, project description, intended platform, delivery schedule, preferred file specifications, and communication records.

Project materials may include video footage, audio, photographs, graphics, logos, scripts, subtitles, music files, reference links, brand guidelines, and review comments. Clients should avoid supplying unnecessary personal, confidential, regulated, or highly sensitive information. The studio does not request government identification numbers, health records, financial account credentials, or other special-category information for ordinary editing work.

Technical information may be collected automatically through the website, including IP address, browser type, device type, approximate location, referring page, pages viewed, and cookie or analytics identifiers. Such information is used for website operation, security, performance assessment, and service improvement.

3. How Information Is Used

Information is used to review enquiries, prepare quotes, confirm project scope, communicate with clients, receive and organize source files, perform editing services, provide review versions, process requested revisions, deliver approved exports, administer payments, maintain business records, prevent misuse, comply with legal obligations, and protect the studio’s rights.

Contact information may also be used to provide service-related notices, scheduling updates, file-access instructions, payment reminders, policy updates, or responses to client questions. Marketing messages are not sent where consent is required unless the appropriate permission has been obtained.

4. Legal Bases and Legitimate Business Purposes

Depending on the location of the individual and applicable law, processing may be based on the performance of a contract, steps requested before entering a contract, legitimate business interests, consent, compliance with a legal obligation, or protection of legal rights. Legitimate interests include operating a secure website, evaluating service requests, delivering contracted editing work, maintaining accurate records, and preventing fraud or abuse.

5. Sharing and Service Providers

Information may be shared with service providers that support website hosting, email, cloud storage, file transfer, project management, review platforms, payment processing, bookkeeping, security, or legal compliance. These providers receive only the information reasonably necessary for their function and may process it under their own terms and privacy practices.

Information may also be disclosed when required by law, court order, valid governmental request, or to investigate suspected fraud, security incidents, infringement, or misuse. The studio does not sell personal information to advertisers or data brokers.

6. Project Files and Confidentiality

Reasonable administrative and technical measures are used to limit access to project files. Access may be provided to personnel or contractors who require it to perform the agreed services and who are subject to appropriate confidentiality obligations. Clients remain responsible for ensuring they have the right to provide all submitted materials and for removing unnecessary sensitive information before upload.

7. Retention

Personal information and business records are retained for the period reasonably necessary to provide services, resolve disputes, enforce agreements, satisfy accounting or tax requirements, and comply with law. Project files are subject to the separate Digital File Storage and Retention Policy. Files may be deleted after the applicable retention period without further notice.

8. Security

Reasonable safeguards are used, but no website, email system, cloud platform, or file-transfer method can be guaranteed to be completely secure. Clients should use secure transfer methods, maintain backups, restrict access to shared links, and promptly notify the studio if access credentials or delivery links may have been compromised.

9. Individual Rights

Depending on applicable law, an individual may have rights to request access, correction, deletion, restriction, portability, or objection to certain processing. Requests should identify the individual and the relevant information with reasonable specificity. Verification may be required before a request is completed. Some records may be retained where required by law or necessary to establish, exercise, or defend legal claims.

10. International Processing

Service providers and cloud systems may process information in locations different from the individual’s country. Where required, reasonable measures are used to support lawful international transfers. By submitting materials for remote editing, clients understand that digital processing and storage may involve multiple service-provider locations.

11. Children

The website and services are intended for adults and authorized business users. The studio does not knowingly collect personal information directly from children. A client supplying footage that includes minors is responsible for obtaining all necessary permissions and ensuring lawful use.

12. Policy Changes

This Policy may be revised to reflect changes in services, technology, legal requirements, or business practices. The effective date shown above identifies the version currently published. Continued use of the website or services after a revision constitutes acceptance where permitted by law.

13. Video Footage Containing Identifiable Individuals

Raw footage may contain faces, voices, names, workplaces, homes, license plates, computer screens, customer information, private conversations, or other details capable of identifying an individual. The client is responsible for determining whether such footage may lawfully be transferred, edited, stored, and published.

Where a project includes interviews, testimonials, event recordings, employees, customers, performers, or minors, the client should maintain appropriate releases and notices. The studio does not independently verify the identity or consent status of every person appearing in supplied media.

14. Data Minimization for Editing Projects

Clients should remove unnecessary confidential, regulated, or sensitive material before upload. When only selected clips are needed, the client should avoid sending unrelated recordings. Passwords, complete financial credentials, health records, government identification numbers, and private account access information should not be included in ordinary production files.

The studio may request that a client replace or redact material that creates an unnecessary privacy or security risk.

15. Automated Tools and Production Software

Editing, transcription, captioning, file conversion, noise reduction, and review tools may use automated processing to perform technical production functions. Such processing is used to deliver the requested service and is not intended to make decisions about an individual’s eligibility, employment, credit, health, or legal rights.

Where a third-party tool offers optional machine-learning or generative features, project materials should not be used for unrelated model training when an available setting or contractual control permits the studio to prevent that use.

16. Security Incident Response

If the studio becomes aware of unauthorized access, loss, or disclosure affecting client information, it may investigate the event, secure affected systems, preserve relevant evidence, contact service providers, and provide legally required notices. The timing and content of any notice may depend on the nature of the incident, available facts, and applicable law.

17. Colorado and Other State Privacy Requests

Depending on residency and applicable law, an individual may have rights concerning access, correction, deletion, portability, or certain uses of personal data. The studio will evaluate a verified request under the law that applies to the requester and the relevant processing activity.

The studio does not discriminate against a person for making a good-faith privacy request. A request may be limited where retention is required for a contract, tax record, legal claim, security investigation, or another lawful purpose.

18. Business Transfers

If the studio undergoes a merger, acquisition, restructuring, financing, asset sale, or similar business transaction, relevant records may be disclosed to advisers and transferred to a successor subject to appropriate confidentiality and legal protections.
